Privacy Policy

This Privacy Policy describes how Searcher OS ("we", "us", or "our") collects, uses, and shares information about you when you use our platform at searcheros.ai (the "Service").

Information We Collect

Information You Provide

We collect information you provide directly to us, including:

  • Account Information: Name, email address, password, and profile details
  • Business Data: Deal information, pipeline data, notes, CIM documents, financial calculations
  • Payment Information: Credit card details (processed securely by Stripe)
  • Communications: Messages you send to support or via contact forms

Automatically Collected Information

When you use our Service, we automatically collect:

  • Usage Data: Pages visited, features used, time spent, actions taken
  • Device Information: IP address, browser type, operating system, device identifiers
  • Cookies: Session tokens, preferences, analytics data

How We Use Your Information

We use the information we collect to:

  • Provide, maintain, and improve our Service
  • Process transactions and send related information
  • Respond to your comments and questions
  • Send technical notices, security alerts, and support messages
  • Send newsletters, product updates, and promotional emails, which may include offers from or introductions to our partners. This applies to all accounts, including Free accounts. You can opt out at any time
  • Analyze usage patterns to improve user experience
  • Detect and prevent fraud and abuse
  • Comply with legal obligations

Third-Party Services

We use the following third-party services to provide our platform:

Supabase (Infrastructure & Database)

  • Hosts user data, authentication, and file storage
  • Data stored in US-based servers with encryption at rest and in transit
  • Privacy policy: supabase.com/privacy

Stripe (Payment Processing)

  • Processes credit card payments securely
  • We do not store full credit card numbers
  • Privacy policy: stripe.com/privacy

OpenAI (AI Analysis)

  • Powers CIM document analysis and AI features
  • We send CIM document text for analysis (not stored by OpenAI per their API terms)
  • When you use Ask AI on a deal, we send your question and that deal's data (listing, CIM text, your notes, broker emails and calculator inputs for that deal only) to generate the answer

Vercel (Hosting)

AI Agent Connections

You can connect an AI assistant or agent you choose (for example ChatGPT, Claude, Meta's Muse, or another app that supports the Model Context Protocol) to your Searcher OS account. You authorize each connection yourself, through a sign-in and approval screen or an API key you create in Settings, and you can revoke it at any time in Settings > LLM Connect.

When you connect an agent, it can read the following from your account when you ask it to:

  • Your name and general location (city and state), and your plan
  • Your buy boxes, pipeline, deal notes, tasks, and calculator results
  • Listings in your deal feed
  • Contact details you or your inbox saved for business brokers (name, email, phone, company)
  • Emails you forwarded to your Searcher OS inbox (sender name and address, subject, and message text)
  • CIM analysis results, which can include details a seller disclosed, such as owner and key employee information

On paid plans, an agent can also make changes you ask for, such as saving a deal, moving it to a new pipeline stage, adding a note, or attaching a document. Some changes ask you to confirm first. Free accounts connect read-only.

Agent responses never include your email address, account identifiers, billing details, passwords, or payment information. Whatever the agent reads is sent to the company that operates it and handled under that company's own privacy policy, not this one. Review the policy of any agent you connect, for example OpenAI, Anthropic, Meta, and xAI.

We keep a log of agent requests (which tool was used, when, and whether it succeeded) so you can review agent activity in Settings and so we can investigate problems. These logs are deleted after 30 days.

Data Sharing and Disclosure

We do not sell or rent your personal information to data brokers or advertisers, and we do not hand it to third parties for their own marketing. We may share your information in the following circumstances:

  • With your consent: When you direct us to share information
  • Partner introductions: When you ask us to introduce you to a partner, we share what that partner needs to reach you. See the next section
  • Sponsoring organizations: If an organization bought your seat, an administrator there can see a read-only view of your account. See the section below
  • Service providers: Third parties who perform services on our behalf (listed above)
  • Legal requirements: When required by law or to protect our rights
  • Business transfers: In connection with a merger, sale, or acquisition

If an organization pays for your seat

Some Searcher OS accounts are paid for by a sponsoring organization, such as an accelerator, a training program, or a search fund. If your seat was bought for you, we ask you whether an administrator at that organization may open a read-only view of your workspace. We do not share your work unless you say yes, and you can change your answer at any time in Settings.

If you agree: they can see your deals and the stage each one is at, the numbers in your calculators, the analysis Searcher OS extracted from any CIM you uploaded and how often you sign in. They cannot see your private notes, your messages and your inbox and the CIM documents themselves. They cannot sign in as you, and they cannot change anything in your account.

Whatever you decide, the organization that pays for your seat can see that the seat is being used, and can see totals across their members. They cannot see which of those totals are yours unless you have agreed to share.

We keep a record of every time an administrator opens a member account. If you have a question about it, email josh@searcheros.ai.

Partner Introductions and Referral Compensation

The Service offers optional introductions to third-party providers such as lenders, quality of earnings firms, and insurance providers. We share your information with a partner only when you ask us to make that introduction. We do not pass your details to partners in the background, and declining an introduction has no effect on your access to the Service.

When you request an introduction, we typically share:

  • Your name and email address, and your phone number if you have provided one
  • Context about what you are looking for, such as target deal size or financing needs
  • Details about the specific deal, when you request the introduction from a deal in your pipeline

A partner who receives this information is an independent business, not a service provider acting on our behalf. Once we make the introduction, that partner handles your information under its own privacy policy, and you should review that policy before sharing anything further with them.

Searcher OS may receive a referral fee or other compensation from some partners. Because every introduction happens at your direction, we rely on the CCPA exception for personal information that a consumer intentionally directs a business to disclose. Section 9 of our Terms of Service describes how referral compensation works and how it does not affect who we recommend or what you pay.

We also record when you follow a tracked partner link, so we can attribute an introduction and reconcile any fee. That record includes your account, the partner, and the time of the click.

Data Security

We implement appropriate technical and organizational measures to protect your information, including:

  • Encryption of data in transit (TLS/SSL) and at rest
  • Row-Level Security policies to isolate user data
  • Regular security audits and updates
  • Access controls and authentication requirements

However, no method of transmission or storage is 100% secure. We cannot guarantee absolute security.

Your Rights and Choices

Account Information

You can update your account information at any time via Settings. You can also request account deletion by contacting support.

Data Portability

You can export your data at any time via Settings → Data Export. We provide data in CSV format.

Marketing Communications

All accounts, including Free accounts, receive occasional newsletters, product updates, and promotional emails, which may include partner offers. You can opt out at any time by clicking "unsubscribe" in any marketing email or from Settings → Notifications. Opting out does not affect transactional emails such as receipts, password resets, and security alerts, which are part of the Service.

Cookies

Most browsers allow you to block cookies, but doing so may prevent you from using certain features.

Data Retention

We retain your information for as long as your account is active or as needed to provide services.

  • Active accounts: Data retained indefinitely while account is active, on both Free and paid plans
  • Canceled accounts: Data retained for 6 months, then permanently deleted
  • Ask AI questions and answers: Your Ask AI conversations are visible to you in the app for 90 days, and you can remove them sooner by clearing the conversation. Separately, we keep a copy of your questions and the answers for up to 12 months in restricted internal logs, used only to investigate problems and improve answer quality. Only authorized staff can access these logs. They are deleted when your account is deleted
  • AI agent activity logs: Deleted after 30 days
  • Backups: May persist in backups for up to 90 days after deletion

Children's Privacy

Our Service is not intended for users under 18. We do not knowingly collect information from children. If we learn we have collected information from a child, we will delete it promptly.

International Data Transfers

Our servers are located in the United States. By using our Service, you consent to the transfer of your information to the U.S., which may have different data protection laws than your country.

California Privacy Rights

California residents have additional rights under the California Consumer Privacy Act (CCPA):

  • Right to know what personal information is collected
  • Right to know if personal information is sold or disclosed
  • Right to opt out of the sale or sharing of personal information. We do not sell or share personal information as those terms are defined by the CCPA. See "Partner Introductions and Referral Compensation" above for how partner introductions work
  • Right to request deletion of personal information
  • Right to non-discrimination for exercising these rights

Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by email or by posting a notice on our website. Your continued use of the Service after changes constitutes acceptance of the updated policy.
